Some couples have the ability and forethought to plan their wedding without assistance and are only in need of a professional to ensure their plans come to fruition on the day of.

It is advisable to hire a coordinator well in advance of your wedding even though the day-of coordinator actually becomes involved around a month prior to your wedding.  From that time forward, their job is to review all vendor details for anything that may have been missed and serve as a main contact for all involved vendors.  Using this information, your coordinator will then develop an appropriate timeline and delegate responsibilities to your vendors throughout your special day.

 

No two weddings are the same; therefore, every contract and service agreement is customized based on the couple’s needs assessed during an initial consultation. 

 

General Day-Of Coordination Services Summary

DETAILS OF SERVICE:

*Initial Meeting: 1 month prior to wedding to review vendor details, ceremony, location details, etc.

*Based on initial meeting, come up with “homework” list for elements that still need to be addressed.

*Unlimited email and phone access for discussions with the bride or groom.

*Review location(s) floor plan and suggest ideal layout and flow from ceremony to cocktail to reception.

*1-2 weeks prior to wedding, contact all vendors to confirm timing and vendor specific details.

*Final Meeting 3 to 7 days prior to wedding for a complete recap and review for the big day!

*Review wedding ceremony processional, recessional and ceremony details.  Help develop or confirm layout and positioning of all ceremony participants.

*Organize and direct wedding party and participating family members during the wedding rehearsal.

ROLE OF THE COORDINATOR ON THE WEDDING DAY:

*Act as liaison on bride and groom’s behalf as the main contact for all vendors, family, friends and venue staff on wedding day.

*Work as a grand delegator with all assistants and vendors to accomplish a seamless event.

*Assist wedding party and participating family members with flowers, corsages, boutonnieres, bowties, etc.

*Assist couple in keeping with the timeline and ensuring all events and participants such as speech givers, are set up or prepared when scheduled.

*Arrange placement of all personal items such as guest book, programs, escort cards, table numbers, cake topper, favors, etc

*At the end of the evening, gather all personal items and gifts for the newlyweds and transfer to a pre-designated secure location.
